Terms used in this Privacy Policy, including "personal information," "special care-required personal information," "personal data," and "retained personal data," have the meanings defined in the Act.

We use personal information for the following purposes. Except as permitted by law, if we need to use personal information beyond the scope necessary to achieve these purposes, we will obtain the individual’s consent each time.

(1) To receive and manage applications for, operate, and communicate regarding events and conferences hosted or co-hosted by IMPACT SHIFT
(2) To deliver newsletters and other communications about our activities, events, and related information
(3) To provide, through IMPACT SHIFT, information about our planning partners, media partners, community partners, sponsors, and other collaborating organizations
(4) To respond to inquiries
(5) To recruit and communicate with volunteers, organizing committee members, and other contributors
(6) To analyze participation and responses in order to improve our activities and events
(7) Other purposes incidental or related to the above

3. Joint Use of Personal Data

We may jointly use personal data as follows:

(1) Items of personal data subject to joint use
Names, email addresses, phone numbers, affiliations and titles, and the contents of applications and responses obtained through event registrations, inquiries, newsletter sign-ups, and similar channels

(2) Scope of joint users
Members of the IMPACT SHIFT Organizing Committee, as published on our website or other communication channels operated or used by IMPACT SHIFT (including blogs such as note and press-release distribution services). Members subsequently added or replaced are also included.

(3) Purposes of use by joint users
The same purposes as set forth in Section 2 above

4. Provision of Personal Data

In principle, we do not provide special care-required personal information or personal data to third parties, except with the individual’s consent or as permitted by law. However, we may entrust the handling of such information to third parties to the extent necessary to achieve the purposes of use, in which case we will supervise those contractors to the extent necessary and appropriate.

5. Security Control Measures

We strive to keep personal data accurate and up to date, and we take organizational, personnel-related, physical, and technical security control measures to prevent the leakage, loss, or damage of personal information. These measures include establishing internal rules for the handling of personal information, conducting periodic self-inspections, providing regular training for personnel handling personal information, preventing the theft or loss of devices, restricting the means by which personal information may be taken off-site, appropriately disposing of devices containing personal information, implementing access controls, and protecting against unauthorized external access and malicious software.

We also use cloud services provided by businesses located in the United States and other foreign countries for purposes such as email delivery, form management, and document management. Where personal data is handled in a foreign country through such services, we implement appropriate security control measures based on an understanding of that country’s framework for the protection of personal information. 6. Disclosure, Correction, Suspension of Use, and Inquiries

Upon request from an individual for notification of the purposes of use of retained personal data, disclosure of retained personal data, disclosure of records of provision to third parties, addition, correction, or deletion of retained personal data, or suspension of use, erasure, or suspension of provision to third parties (collectively, "Disclosure Requests"), we will respond without undue delay and within a reasonable scope. If we receive a complaint regarding our handling of personal information, we will investigate the facts and respond in good faith. For Disclosure Request procedures and any other inquiries or comments regarding our handling of personal information, please contact the office below. We will respond after verifying that the request has been made by the individual concerned (provided that we may be unable to accommodate certain requests).

7. Cookies and Access Analysis Tools
